Setting Up Access: Recruiter (Employee) vs. Hiring Manager

The quickest way to get each person signed in and working. Audience: Recruiters, Super Users

What you’re doing

There are two kinds of people you may need to set up:

  • Recruiters/Employees who use the full ATS

  • Hiring Managers who use the Hiring Manager Workspace (a limited‑capability workspace inside the ATS)

Licenses required: Adding either type requires an available paid license. If none are available, contact your BrightMove Configurer so they can reach BrightMove Support to request additional licenses. Requests must come from an authorized Super User or the account holder.

Set up a Recruiter (Employee)

  1. Go to User Icon ▸ Settings ▸ Employees ▸ Add Employee.

  2. Enter First Name, Last Name, Email, Username (blank Username defaults to BrightMove ID).

  3. Select role tags as needed: Recruiter, Sales Rep, Sourcer, Job Approver (ensures they appear in related dropdowns/filters).

  4. (Optional) Enable Receive Daily Digest Email if desired.

  5. Click Save.

  6. A pop‑up will prompt you to add a Security Role, click OK and assign one (required for login).

  7. The new user receives a BrightMove Welcome email that includes:

    • Assigned Username

    • Security link to create their password

    • Helpful BrightMove sites to bookmark

    • Support methods & hours info

UI note: If you have no open licenses, BrightMove will display a message asking you to contact Support to add a license. Follow your org’s process: contact your BrightMove Configurer so they can reach BrightMove Support to request additional licenses. Requests must come from an authorized Super User or the account holder.

Notes

  • License required: Adding a recruiter/employee consumes a paid license. If no licenses are available, contact your BrightMove Configurer so they can reach BrightMove Support to request additional licenses. Requests must come from an authorized Super User or the account holder.

  • If the person should appear in Recruiter dropdowns, ensure the Recruiter tag is selected on their profile.

  • No Security Role = no ATS access.

Other helpful sections in Employee Profiles

  • Team tab: Shows if other employees are assigned with this person as their manager.

  • Approval Delegates (optional): Lists job approval delegates configured for the employee.

  • Audit: Logs profile creation and changes (date/time, who changed it, field and details) for accountability.

Single User Accounts

  • If your account has one user and you need to replace that license with a different person, open a request with BrightMove Support for assistance.

Set up a Hiring Manager (HM Workspace)

  1. Create the manager record: Managers ▸ Create (complete name, email, and Client/Department).

  2. Grant Workspace access: User Icon ▸ Settings ▸ Manager Access ▸ Add Access.

    • Grant individually with Grant Access, or multi‑select and Add Selected.

  3. Optional: From a manager profile without access, click Grant Access (hover to see available license count).

Detailed Steps for Reassigning an Existing License

If you need to reassign an existing Hiring Manager license to a different user:

  1. Navigate to Settings > Manager Access in your BrightMove portal.

  2. Locate the current user with the Hiring Manager license and click Remove next to their name. This action will free up the license.

  3. Click Add Access and select the new assignee by searching for their name.

  4. Confirm the new assignment and verify that the user’s profile contains a username and email address to ensure login access.

  5. Inform the new assignee to log out and back into BrightMove to apply the changes.

Notes

  • License required: Granting HM Workspace access consumes a paid license. If you’re out of licenses, remove access from an inactive manager or contact your BrightMove Configurer so they can reach BrightMove Support to request additional licenses. Requests must come from an authorized Super User or the account holder.

  • Assume (on the manager profile) lets you navigate as that manager for support; activity is still attributed to the original user.-

    Troubleshooting License Assignment Issues:

    • Ensure all licenses are not already allocated. If needed, reassign or add more licenses as outlined.

    • Verify the user's profile contains a complete username and email address.

    • Confirm the user has logged out and logged back in to update their access rights.

Steps to Add More Licenses

If all Hiring Manager licenses are already assigned and additional access is needed:

  1. Contact your account administrator to request additional licenses for your organization.

  2. Reach out to your designated BrightMove account manager or support team to facilitate the purchase of extra licenses.
