Submittals Tab on Candidate Profile

How to Use the Submittals Tab on the Candidate Profile

Updated over a week ago

Overview

The Submittals tab on a candidate profile provides a complete history of all jobs a candidate has applied to through your company. This article explains how to navigate this tab and use it to track a candidate's interview and placement history.

Why Use the Submittals Tab

The Submittals tab helps you:

  • View previous jobs the candidate applied to

  • Check past placement history

  • Review previous interview processes

  • Track the candidate's current status across multiple positions

  • Avoid duplicate work by seeing the candidate's complete history with your company

Navigating the Submittals Tab

Key Information Displayed

The Submittals tab provides comprehensive information for each job application:

  • Job ID and Title

  • Client/Department details

  • Candidate Rank for each position

  • Progress bar showing visual progress through the hiring process

  • Placement Start and End Date (will display under the progress bar when applicable)

  • Current Status of the candidate

    • Note: the date shown in this column will always reflect the date in which the candidate was submitted to the job. (submit date)

  • Last Activity type and date

    • Note: this will show the most recent activity and the date it occurred on. (activity date)

Note: The fields displayed in the submittals table are static and cannot be changed or hidden.

Working with Candidate Submittals

Viewing Detailed History

  1. Locate the submittal in question on the Submittals tab.

  2. Click More under the submittal.

  3. Select View Submittal to open a detailed list of activities.

  4. Review the activity log to see who performed each action and when it was completed.

Removing Submittal Records

  1. Find the job submittal you want to remove

  2. Click the Delete button

  3. Confirm the deletion when prompted

Important Compliance Note:
If you choose to delete a submittal (from either the Job Profile Submittals tab or the Candidate Profile Submittals tab), be aware that this action will:

  • Permanently remove the candidate’s submission record for that job.

  • Permanently delete any attached Basic Qualification (BQ) documentation.

For compliance and audit purposes (such as OFCCP guidelines), you should:

  • Add a note to the candidate’s profile explaining why the submittal was deleted (e.g., submittal deleted to allow candidate reapplication due to incorrect BQ responses).

  • Document any key details to maintain a clear audit trail.

Do not delete the candidate profile itself unless absolutely necessary, as this removes all history tied to that candidate.

Adding Activities or Updating Status

  1. Locate the relevant job in the submittals list

  2. Click the Add Activity button

  3. Select the appropriate activity type or new status

  4. Complete the required fields

  5. Click Save

Benefits for Recruiters

The Submittals tab helps recruiters:

  • Identify candidates with previous company history

  • Recognize when candidates have applied to multiple positions

  • Save time by leveraging existing candidate information

  • Make more informed decisions based on past interactions
