Managing or Reporting on Timecards in BrightMove
Time and Billing Reports
The Time and Billing module is located under Reports. From here, you can manage and monitor timecards using three key reports:
Billable Hours Report – Snapshot of all billable hours within a selected timeframe.
Timecard Report – Weekly breakdown of each accepted applicant’s billable and non-billable hours.
Overdue Time Card Report – Identify which candidates have not submitted timecards for the week.
Billable Hours Report
Provides a high-level view of all billable hours within the specified period.

Timecard Report
The Timecard Report shows weekly summaries for each applicant:
Open – Applicant is still editing and has not submitted.
Submitted – Applicant has entered and finalized all hours.
Click on a name to view the detailed timecard.
The summary at the top includes:
Period
Billable and Non-Billable Hours
Total Hours
Total Expenses (if in use)
Status
You can also view who approved the timecard and the date/time of approval.

Approving or Rejecting a Timecard
If a Hiring Manager does not approve timecards, BrightMove users may do so on their behalf. Use the Approve or Return buttons at the bottom of the screen.
Unapproving a Timecard
If you need to unapprove a previously approved timecard:
Go to Settings > Security > Timecards.
Enable the Unapprove permission for the appropriate security role.
Once enabled, an Unapprove button will appear on approved timesheets.
Timesheet Comments
Both managers and employees can use the Comments box to provide notes. A comments history tracks all correspondence.
Overdue Time Card Report
Quickly view which candidates have not submitted timecards for the week.
Options include:
Click on a candidate’s name to view their timecard.
Select one or more candidates and send either a blank email or an email template reminding them to submit.
Hiring Manager / Client Access
Hiring Managers or Client Contacts can log in at https://app.brightmove.com/ATS/ with their assigned credentials.
At the top of the screen, select Approve Timesheets to view submitted timesheets awaiting approval.
Filter by Timecard Start Date.
Click on a name to open the timecard.
A summary will display (Period, Hours, Expenses, Status).
Use Approve or Return at the bottom.
Add notes in the Comments box.
Back Office Capability
BrightMove Back Office provides integrated billing and timecard management:
Real-time, responsive interface
Easy configuration (payment terms, accounts, contract preferences)
Generate invoices and view snapshots of:
Approved & non-approved timesheets
Billable & non-billable hours
Clients and totals to invoice
The system also includes a Health Check to validate data and settings before creating invoices.
Troubleshooting
Applicant Does Not Have a Timecard
Check the following:
Applicant is on a placement submittal status (Hired, Start, Accepted).
Applicant has a placement record with correct dates.
The job is labeled as a Contract Placement.
Manager Cannot See Timecard Module
Go to Settings > Security.
Select the Client Contact security role.
Ensure access is enabled for each time module.
To restrict actions, click the checkbox — an X will appear indicating the action is blocked.
