Hiring Manager Permissions Overview

Learn what Hiring Managers can and cannot do in BrightMove, including communication, job, and candidate management permissions.

Hiring Managers (also referred to as Client Contacts) in BrightMove have broad access to the candidates and jobs they manage. They can perform essential day-to-day recruiting actions, such as viewing, editing, and communicating, but cannot access or modify system-level configurations, company settings, or financial data.

The list below outlines the full range of capabilities available to a Hiring Manager in BrightMove. These represent all actions supported by the system for this user type, as defined by the difference between a Hiring Manager license and a Recruiter license.

Note: Administrators or System Configurers can further restrict these permissions within the Hiring Manager role to align with company policies or security needs. However, capabilities outside this list are not available for the Hiring Manager license and cannot be granted through permissions.

BrightMove permissions are not granular at the feature level. This means you can enable or disable entire permission categories, but you cannot selectively control specific actions within them.

For example, under communication permissions, you can allow or block a Hiring Manager’s ability to send emails entirely, but you cannot allow template emails while blocking or hiding their option to send a blank email.

Always review your company’s security preferences and workflow requirements before modifying the Hiring Manager role.

What Hiring Managers Can Do

General Access

Hiring Managers can:

  • Log in and access the Applicant, Job, and Submittal modules.

  • Use Power Search to find applicants and export search results.

  • Bulk email or SMS applicants directly from Power Search results.

  • View the Dashboard and open records for assigned jobs and candidates.

Applicants (Candidates)

Hiring Managers can:

  • Create new applicants manually or import resumes.

  • View and edit applicant details, including:

    • Current Pay

    • Desired Pay

    • Contact information, education, work history, and references.

  • Add and edit applicant notes.

  • Add and manage questions and questionnaires that they're assigned to.

  • View, add, and manage existing applicant tags (cannot create new tag definitions).

  • Merge or deduplicate applicants.

  • Rank applicants for job comparison.

  • View and download attachments (resumes, supporting files).

Jobs (Requirements)

Hiring Managers can:

  • Create new jobs.

  • Edit existing jobs — including job description, details, and assigned recruiter.

  • Copy or repost jobs.

  • Publish or remove job postings from the web.

  • Change the recruiter (job owner) on a job.

  • View and manage job notes and attachments.

  • Search all jobs they manage or have visibility to.

Submittals (Candidate Pipelines)

Hiring Managers can:

  • Submit their applicants to their jobs.

  • View all their submittals for their assigned jobs.

  • Change their submittal statuses within visible workflow stages.

  • Add or edit submittal activities (e.g., interview, feedback, decline, hire).

  • Hire or decline candidates (depending on workflow rules).

  • Provide interview feedback on candidates.

  • View submittal history and notes.

Clients

Hiring Managers can:

  • View client company information, including offices and contacts.

  • Search clients they are associated with.

Communication

Hiring Managers can:

  • Email applicants directly (includes “Blank Email” and template options).

  • Use email templates (cannot create or edit templates).

  • Send bulk emails or SMS messages via Power Search.

  • View sent email history in applicant profiles.

Personal Tools

Hiring Managers can:

  • Edit their own user profile (password, contact info, signature).

  • Use a personal email signature.

  • View calendar and scheduled activities.

What Hiring Managers Cannot Do

System & Configuration

Hiring Managers cannot:

  • Manage company settings, user roles, or permissions.

  • Configure submittal workflows, triggers, or templates.

  • Access Admin Settings or Back Office configuration.

  • Create or edit company credentials or integrations.

  • Edit user-defined fields (UDFs) or change form layouts.

  • Manage security roles, BrightForms, or system automations.

  • Access Planner

  • Manage or configure Engage, Wisdom, or Back Office modules.

  • Delete other users’ data (records created by other team members).

  • Delete notes.

Reports & Analytics

Hiring Managers cannot:

  • Access the Reports module.

  • Run, build, or schedule reports.

  • View management, forecasting, or billing reports.

Enhanced Features (Optional Add-Ons)

These capabilities depend on your company’s package. Not all accounts include these modules.

Timecards / Back Office

Can:

  • Approve timecards for placements they manage.

  • View time and billable hour summaries (if enabled).

Cannot:

  • Create or edit timecards.

  • Manage invoicing, pay plans, or accounting data.

  • Access Back Office configuration screens.

  • View or edit placements, invoices, or pay plans.

  • Approve or edit billing information.

Engage (SMS & Communication)

Can:

  • View Engage message threads tied to their jobs.

  • Reply to existing messages if they are a participant.

  • Send bulk SMS through Power Search (if enabled).

  • Start new SMS threads from outside Power Search.

  • Send campaign or broadcast messages.

Cannot:

  • Manage Engage templates, keywords, or automation lists.

Wisdom & Insights

Can:

  • View shared Wisdom dashboards (read-only).

  • Export or filter report datasets.

Cannot:

  • Explore data interactively or create dashboards.

Understanding the Hiring Manager role helps ensure the right balance between visibility and control in your recruiting process. Always review permissions after configuration changes to confirm that Hiring Managers have the access they need, without extending beyond what’s appropriate for their responsibilities.
