What is BrightFlow?
BrightFlow is a Kanban-style, visual representation of your company’s submittal workflow. It organizes candidate statuses into Swim Lanes (also called Stages), providing a streamlined view of candidates as they progress through the hiring process.
By creating and customizing swim lanes, you can enhance recruiter efficiency and provide clear visibility of hiring pipelines across your organization.

Why Configure BrightFlow?
Proper BrightFlow setup allows your recruiters and hiring managers to:
Easily visualize candidate progress.
Quickly move candidates between statuses via drag-and-drop.
Group related workflow statuses into logical, easy-to-read stages.
Each company can fully customize swim lanes and visual colors to reflect their unique hiring process.
Setting Up Swim Lanes (Stages)
Accessing BrightFlow Setup
To configure BrightFlow:
Go to Settings from your Quick Links menu.
Under Company Settings, select BrightFlow Setup.
Note: If you don’t see this option, you likely lack the Manage Submittal Workflow permission. Contact your Account Admin for access.
Creating a Swim Lane
Click the Add Swim Lane button.
In the configuration modal:
Name your swim lane.
Choose text color, background color, and border color for the column header.
Save your swim lane.
Tip: Avoid creating individual swim lanes for every single status. Instead, group related statuses together for cleaner pipeline visibility.
Editing and Managing Swim Lanes
Click the pencil icon or swim lane name to edit.
Use arrow icons to rearrange swim lane order.
Click the trash can icon to delete a swim lane.
The number indicator beside the trash can shows how many statuses are assigned to that swim lane.
Assigning Submittal Statuses to Swim Lanes
All statuses will appear in the Unassigned pool by default.
Drag and drop statuses from the Unassigned pool (or another swim lane) into the desired swim lane.
Save your changes using the Save button at the top-right.
Important:
Statuses must be assigned to a swim lane for:
Recruiters to see them in BrightFlow.
Candidates to be moved into those statuses using drag-and-drop.
Statuses left unassigned will not display in BrightFlow.
Understanding Status Tile Colors
By default:
Green = Placement statuses.
Blue = Submitted to Client statuses (Sendout).
Red = Declined/Rejected statuses.
Gray = All other statuses.
Swim lane column header colors are customizable during setup.
Best Practices for BrightFlow Configuration
Group statuses logically to simplify recruiter workflows.
Ensure all active statuses are assigned to a swim lane.
Regularly review swim lanes to reflect any process changes.
Coordinate with your recruiting team to align workflow visualization with actual hiring practices.
