Creating & Managing Jobs (Hiring Manager)

An overview of how Hiring Managers can manage their assigned jobs in BrightMove, and create new jobs when permissions allow.

How to Create a Job

If your security allows you to create a new job:

  1. In the left menu, click Jobs to expand the section.

  2. Click Create a new Job.

  3. The New Job form will open in a pop-up window.

Completing the New Job Form


Basic Information
Fill out the required fields (outlined in green), including:

  • Job Title

  • Placement Type

  • Open Date

  • Status

  • Original Openings

  • Number of Openings

  • City

  • State

  • Required Skills

You can also enter:

  • Work Type (Work from Home, Remote, Hybrid, or Part Time)

  • Postal Code (optional but highly recommended)

  • Interview Schedule

  • Preferred Portal (if used by your organization)

Location
Select the job’s location from the dropdown, if different from the address entered above.

Rates
If applicable, enter minimum and maximum pay rates for the position.

Skills

  • Required Skills (must be completed)

  • Optional Skills (optional)

Descriptions
There are two description fields:

  • Internal Description (top box): For internal use only. If your organization does not use an employee portal, you can skip this.

  • Web Site Description (bottom box): This is the external job posting, typically published to job boards and visible to applicants.

Tip: Formatting tools are provided to help you style your job description. You can also use the Wiz AI Job Assistant to help you generate or enhance job descriptions quickly and easily!

When done, click Save.

Managing Your Jobs

In the “My Current Jobs” dashboard pane, you can click on any job title to open the full job profile.

On the left-hand side, you’ll see a panel containing key job details, sometimes referred to as the job "baseball card."

Job Card Key Features:

  • Job Title and ID

  • Location

  • Assigned Team – such as the Recruiter, Hiring Manager, and Salesperson

  • Email Contacts – includes individual or team emails linked to the job

  • Job Sharing & Posting Options – share the job directly to social platforms or view it on the Candidate Portal using the quick access to the public-facing job post via hyperlink

  • Status – Current status of the job (e.g., Open, Hot)

  • Status Comments – Notes about the status

  • Approval Status – Shows if the job is approved and links to view approval chain

  • Currently Approved By – Displays the approver’s name

  • Open Date – Date the job was opened

  • Placement Type – Type of job placement (e.g., Permanent, Contract)

  • End Date – (If applicable) when the job is set to close

  • Openings – Number of active openings

  • Original Openings – Total requested openings originally submitted

  • Work Remote / Work From Home / Work Hybrid / Part Time – Toggle switches for work arrangement

  • Min & Max Pay Rate – Salary or hourly range

  • Required Skills – Key qualifications needed for the job

Additional Job Card Features:

These optional or supporting fields are still important but may not be used for every job:

  • Job ID – Custom field if applicable

  • Other Location – Secondary or alternate location

  • Duration – Expected length of the job

  • Bonus Percentage / Amount / Notes – Optional bonus information

  • Optional Skills – Nice-to-have qualifications

  • Job Group – Internal job classification

  • Marketing Locations – Target locations for promotion

  • Recruiters / Sourcers – Assigned team members

  • Industries / Categories / Functions – Tags for classification

  • Workgroups – Associated team or department

  • Interview Schedule – (If applicable) interview dates/times

  • Vendors – External parties attached to the job

  • Preferred Portal – Designated platform for job publishing

Tip: Most fields in this section are editable by clicking the pencil ✏️ icon next to them (if you have permissions).

Dashboard Tab for Jobs

The Dashboard tab gives you a high-level visual summary of candidate activity and job performance for the selected position. It's designed to help you quickly understand where candidates are coming from, how far they’ve progressed, and how active the job has been overall.

Here’s what’s included:

  • Candidate Source
    A pie chart showing where candidates originated from (e.g., job boards, internal sources, referrals, etc.). This helps track the effectiveness of your sourcing channels.

  • Job Submittal Status Summary
    A breakdown of where each candidate currently stands in the hiring process (e.g., Submitted to Client, Checking References, Withdrawn, Accepted). Great for gauging hiring pipeline progress at a glance.

  • Historical Activity Totals Summary
    A comprehensive activity log showing all interactions tied to this job, including submissions, reviews, screenings, and more. Each segment is color-coded by action type.

Submittals Tab

The Submittals tab shows a list of all candidates submitted to the job, along with key details about their status, ranking, and activity. This is where hiring managers can track candidate progress, take action, and collaborate with recruiters.

Key Features:

The Candidate Table displays each submitted candidate with the following columns:

  • Name

  • Rank – Displays a 1–5 star rating assigned by the hiring team

  • Progress – Visual progress bar indicating their current stage in the hiring process

  • Placement – Status of their hiring decision (e.g., Accepted, Declined)

  • Start/End Dates – (If applicable) assignment start and end dates

  • Status/Date/By – Current hiring stage (e.g., Submitted to Client, Checking References), the most recent update date, and who made the change

  • Activity/Date/By – Last activity logged (e.g., Interview, Call), when it occurred, and by whom

Action Buttons:

These buttons allow hiring managers to review and take action on candidates:

  • View Resumes – Opens the candidate’s uploaded resume

  • Add Activity – Log calls, notes, interviews, and other touchpoints

  • View Submittal – View full submittal history, including recruiter notes and activity

  • Recommend Hire – Notifies the recruiter you’d like to move forward with the candidate. This updates the submittal status to your designated Hired or Accepted status

  • Decline – Marks the candidate as rejected

  • Mark In Review / Unmark In Review – Flags candidates you are actively reviewing.

    Tip: Marking a candidate "In Review" displays a callout icon in the recruiter's view to indicate they’re under consideration

  • Search, Filter, and Export Tools – Use the search bar to find candidates by name, or click Export to download the full table in Excel format

Note: Available actions depend on your user permissions. Additional options like “Recommend Hire” and “Decline” appear once a candidate reaches the “Submitted to Client” status.

Attachments Tab

The Attachments tab is used to upload and manage documents related to the job. This could include job descriptions, contracts, internal documentation, or any supporting files your team needs to reference.

Key Features:

  • Upload files using the Add Attachment button

  • View existing attachments with filename, size, upload date, and who added it

  • Use the Actions column to preview, edit or delete files (depending on permissions)

Tip: Use this tab for sharing formal or reference documents that should stay tied to the job record.

Notes Tab

The Notes tab is used to log internal comments or updates related to the job. Unlike attachments, these are plain-text entries meant for quick communication or documentation within your team.

Key Features:

  • Add notes using the Add Note button

  • Track notes by date, subject, content, and creator

  • Search through notes using the filter box

Tip: Use this tab to keep track of updates, feedback, or any informal commentary on the job, especially things that don’t require a full file upload.

Interview Questions Tab

The Interview Questions tab allows you to organize and manage questions that will be asked at different stages of the interview process. These can be used to standardize screening and ensure consistency across candidate evaluations.

Key Features:

  • Assign Questions by Submittal Status – Organize questions under stages like Screening, Internal Interview, or Client Interview

  • Add a Questionnaire – Link a prebuilt set of questions for a streamlined process

  • Add Individual Questions – Manually create specific questions for candidates to answer

  • Remove Questions – Delete any that are no longer needed using the Remove button

  • Save Changes – Click Save after making edits to apply updates to the interview flow

Use this tab to ensure the right questions are asked at the right time in the hiring journey.

Job Description Tab

The Job Description tab displays the public-facing and internal descriptions for the job. This is where you define the job’s responsibilities, required qualifications, and any other role-specific details.

Key Features:

  • Web Description / Internal Description – Toggle between the version shown on your job board (Web) and your team-only version (Internal)

  • Sync to Internal Description – Check this box if you want the internal version to automatically mirror the web version

  • Edit – Click the Edit button to update the job description content using a rich text editor

  • Remove from Web – Use this if the job should no longer be publicly listed

Use this tab to keep your job postings clear, accurate, and aligned with your internal expectations.

Job Board Posting Tab

The Job Board Posting tab shows where the job is being distributed across integrated job boards. It helps you monitor where your listing is live and whether applications have been received.

Key Features:

  • Free vs. Paid Tabs – Toggle between free distribution sites and paid postings (if enabled)

    Tip: For Search and Staffing Companies, jobs will only be visible on LinkedIn with promotion. See this LinkedIn article on troubleshooting if your jobs are not visible.

  • Feed Inclusion – Confirms whether the job is currently included in the outbound feed

  • Application Activity – Indicates if any applications have been received

  • Live Posting List – Displays active boards the job is currently shared to, such as:

    • Glassdoor

    • Indeed

    • LinkedIn

    • Monster Free

    • ZipRecruiter

    • SimplyHired

    • MyJobHelper

    • Talent.com

Use this tab to confirm your job is reaching the right channels and to manage where it appears externally.

Exams Tab

The Exams tab allows you to assign and manage assessments tied to the job. These exams can be used to evaluate candidate knowledge, skills, or qualifications during the hiring process.

Key Features:

  • Assigned Exams – View any exams currently linked to the job, along with:

    • Exam Name

    • Duration

    • Passing Score

    • Number of Questions

    • Create Date

  • Available Exams – Click this tab to browse and assign new exams from your organization’s exam library

  • Actions Column – Manage each assigned exam (e.g., remove or update settings)

Use this tab to ensure applicants are completing required evaluations as part of your hiring workflow.

Social Media Image Tab

The Social Media Image tab lets you upload an image that will appear alongside this job when shared online. It’s used by platforms that support OpenGraph tags, such as LinkedIn and Facebook.

Key Features:

  • This image acts as the visual preview of your job post on social media and job board feeds

  • It’s a great way to boost employer branding and make a strong first impression with candidates

If no image is added here, the default company-level social media image will be used instead (if one is configured).

Click Manage Social Media Image to upload or change the image.

Audit Tab

The Audit tab provides a basic record of when the job was created and last updated, along with who performed those actions.

Key Features:

  • Created By – The user who originally created the job

  • Created On – The date and time the job was first added

  • Updated By – The user who last made changes

  • Updated On – The most recent date and time the job was modified

Use this tab to confirm activity history or verify who made the most recent updates to a job record.
