Permissions tip: If you don’t see an option described here, check with your company's BrightMove configured as it might be your user role, job ownership, or company preference.

1) Dashboard Tab

Legacy vs. Wisdom

  • Toggle between Legacy and Wisdom using the control in the top‑right.

Legacy View

  • Includes three exportable charts:

    1. Candidate Source – Source distribution of submitted candidates.

    2. Job Submittal Status Summary – Current submittal statuses for this job.

    3. Historical Activity Totals Summary – Totals across all historical submittal activities for this job.

  • Each chart has an options menu to print or export.

Wisdom View

  • BrightMove’s analytics dashboard for the job: panels + Tips & Insights.

  • Data dependencies: Job data, your configured Submittal Workflow, and BrightFlow stages.

  • Latency: ~1 hour between ATS updates and Wisdom refresh.

  • Panel controls (top‑right): filter, expand, drill up/down, refresh, export.

  • Best practice: Align BrightFlow Kanban stages to Submittal Statuses for accurate analytics.

2) Submittals Tab

List of all candidates submitted to the job and their workflow progress.

What you’ll see

  • Candidate (click to open profile)

  • 5‑Star Rank (optional)

    Note: This ranking is separate from the one found on the candidate's profile. This ranks for their submittal specific to this job, while the one on their profile is more of a general overall ranking.

  • Progress bar with color cues: Red = declined/rejected, Green = placement confirmed, Blue = in‑progress

  • Status details: current submittal status, placement start/end dates (if any), created date/creator, most recent activity type/date

  • Search/sort across columns

  • More menu: answer unanswered Basic Qualification (BQ) questions; Delete Submittal

Compliance note (important): Deleting a submittal permanently removes the submission record and any attached BQ docs. For audit/OFCCP purposes, add a Note to the candidate record explaining why (e.g., reapply due to incorrect BQ responses). Do not delete the candidate profile unless absolutely necessary.

Layout note: Fields in the Submittals table are static and cannot be customized/hidden.

Batch actions (Choose an Action for the List)

  • Mass status changes

  • Mass Email/SMS (up to 100 at a time)

  • Send to Manager

  • Submit to another Job

  • Add to a Folder

Update a candidate’s status

  1. Click Add Activity

  2. Choose the Submittal Status (watch color cues)

  3. Review email template icons (hover for template name)

  4. Select the Submittal Activity for that status

  5. Set Start Date and optional End Date → creates an activity for each day in the range

  6. (Optional) Override specific communication templates

  7. Add Comments as needed

  8. Click Save

Best practices

  • Enter accurate activity dates (avoid backdating when possible)

  • Periodically review workflow rules to ensure they match process

  • If templates aren’t sending, confirm: template is mapped to status and candidate has a valid email

  • If something seems missing, verify your permissions on the job

3) Attachments Tab

  • Add Attachment to upload files.

  • Click a file’s edit option to rename.

  • Delete to remove (follow internal compliance policies before deleting).

4) Notes Tab

  • Click Add Note, enter Subject and Note body, then Save.

  • Notes longer than 150 characters truncate in list; open the note to view full content.

5) Rate Card Tab

  • The Rate Card is a table outlining the profit derived from the difference between the Bill Rate and Pay Rate.

  • It displays this info for the different employment types that are setup for your company.

  • The Rate Card is generated automatically by BrightMove as long as a Bill Rate has been entered for the Job.

  • This feature is useful to staffing companies, because their profit is derived from the difference between the bill and pay rates.

6) Products Tab

  • Assign Product → pick from configured items in Settings → Products.

  • Manage assigned products from this tab.

  • The Products tab will display any currently assigned products under the given job along with the action button to assign new products.

  • To assign a new product select the Assign Product button and then select the product from the pop-up window.

  • Once saved, the product will now be assigned to your job profile.

7) Interview Questions Tab

  • Store/manage job‑specific interview questions and questionnaires.

  • Indicate required/optional (internal visibility).

  • Tie to candidates and record answers via Submittals.

8) Job Description Tab

Web Description (Public)

  • Public‑facing job description used on job boards and hosted site.

Actions

  • Compose and Publish to Web to make the job externally visible.

  • Sync to Internal Description to copy public content into Internal; future web edits will also sync when enabled.

Tip: Keep SEO‑friendly titles and clean formatting for best job board results.

(Internal)

  • Visible only to licensed BrightMove users.

  • Use for internal‑only context and details.

Options

  • Publish to Internal – posts the job internally.

  • Sync from Web Description – overwrites Internal with current Web Description; future changes to Web continue to sync when enabled.

9) Job Board Posting Tab

  • View external posting details across Free and Paid boards.

  • Header shows Last Modified and Job Age. Click View Logs for the Job Board Report.

Workflow tip: Use log messages + green indicators to quickly confirm pickup, updates, and application flow.

10) Folders

Assign a Job to a Folder

  1. Open the job

  2. Click Assign to Folder

  3. Choose a folder and Save

Don’t see the button? Create a folder first: Jobs → Folders → Add Folder.

Visibility icons

  • Locked – private folder owned by you

  • Unlocked – public folder owned by you

  • Unlocked + “Owned by …” – public folder owned by another user

11) Exams Tab

  • View/manage Assigned and Available exams for the job.

  • Assign assessments; results/links display under Assigned Exams.

12) OFCCP Tab

  • Record search history from third‑party sites for OFCCP compliance.

Add a search entry

  1. Click Add Search

  2. Select Source of Search

  3. Enter relevant Notes

  4. Click Save

13) Activities Tab

Note: Job Activities are not the same as Submittal Activities.

  • Keep a work history between the Job and Hiring Managers, even when the HM on the job changes.

  • Creating a Job Activity here also adds it to the Hiring Manager profile.

  • Click Add Activity to log calls, meetings, to‑dos, updates.

  • Activities longer than 150 characters truncate in list; click View for full comment.

14) Social Media Image Tab

  • Job‑level image used when this specific job is shared on social networks.

  • Inheritance: If none at job level → use company‑level image; if missing → the social site auto‑selects (often not ideal).

Set a Job‑level social image

  1. Open Social Media Image tab

  2. Click Manage Social Media Image (upper right)

  3. Paste an image URL or upload from your computer

  4. Click Save & Close

Best practice: Use a clear 1200×630 (or similar) image for clean share cards.

15) User Defined Fields (UDF) Tab

  • Each Job UDF section built in Settings → User Defined Fields (UDF) appears as its own tab; the tab name matches the section name.

  • Open the UDF tab to view/complete job‑specific custom fields.

  • Use UDFs for organization‑specific data not covered by standard fields.

16) Differential Pay

  • Configure differential rules (e.g., shift/weekend) where applicable.

17) Audit

  • See creator, last updated by, timestamps, and key change details for audit purposes.

Troubleshooting & FAQs

I can’t see some tabs or actions.
Check your role/permissions, job ownership, and relevant company preferences.

Templates didn’t send on a status change.
Confirm the template is mapped to the status, the candidate has a valid email/phone, and there are no overridessuppressing it.

Wisdom panel shows stale numbers.
Allow for ~1 hour latency; then use the panel refresh control.

Job didn’t appear on a board.
Use Job Board Posting → View Logs to verify RECEIVED/ADDED/UPDATED events and check for REMOVED or board‑level processing notes.

Deleting a submittal vs. deleting a candidate?
Prefer deleting the submittal and add an audit Note; only delete a candidate profile when absolutely necessary per policy.
