BrightMove Power Search: Mass Actions Guide

Recruiters, Hiring Managers, and Super Users can leverage Power Search to quickly locate records and take bulk actions.

With Mass Actions, you can update, organize, and communicate with multiple records at once, directly from your search results. This streamlines high-volume workflows and saves time by replacing repetitive, one-by-one updates with efficient bulk processing.

What Are Mass Actions?

Mass Actions are tools in Power Search that let you perform bulk updates on multiple records at once. Available actions include:

  • Adding candidates to folders

  • Submitting candidates to jobs

  • Copying job records

  • Exporting results to Excel

  • Sending communications (email/SMS/templates)

  • Deleting candidates

⚠️ Important: Availability of features depends on your role, permissions, and your company’s configuration. Some actions may not be visible to all users, and certain labels may differ (for example, “Candidates” may appear as “Applicants”).

How to Use the Actions Menu

  1. Run a Power Search to generate results.

  2. Select records using the checkboxes (top box selects all visible).

  3. Click Actions (dropdown above the grid).

  4. Choose the desired action.

Pro Tip: Refine your search first to avoid applying a mass action to unintended records.

Available Mass Actions

1. Add Candidates to a Folder

  • Select candidates.

  • Go to Actions > Create and Send to Folder.

  • Click Go and then Save.

  • Candidates will be added to the chosen folder.

Useful for organizing talent pools or sharing groups of candidates with your team.

2. Submit Candidates to a Job

  • Select candidates.

  • Choose Actions > Submit to Job.

  • Select the job and follow submittal prompts.

This works the same as submitting from an individual candidate profile but supports bulk submission.

⚠️ This feature is disabled if your company has OFCCP compliance enabled. If that’s unexpected, contact your BrightMove administrator.

3. Mass Copy Jobs

  • Run a Job Power Search.

  • Select jobs with checkboxes.

  • From Actions, choose a copy type:

    • Copy – No posting enabled

    • Copy – Post to Web

    • Copy – Post to Internal

    • Copy – Post to Web & Internal

  • Click Go.

A private folder is created (Mass Job Copy – Date/Time) containing the copied jobs for review.

Notes:

  • You can edit jobs individually.

  • Mass update job status if you have the Mass Update Job Status permission.

  • UDFs and Basic Qualifications from the original jobs are copied over.

4. Export Results to Excel

  • Select candidates (or none to export all visible results).

  • Choose Actions > Export to Excel.

  • A file is generated containing the columns currently shown in your grid.

💡 Tip: Customize your columns before exporting to ensure the spreadsheet has exactly what you need.

5. Send Communications

Use Power Search to communicate with many candidates at once:

  • Send Email – draft or use templates.

  • Send SMS – send bulk text messages.

  • Send to Hiring Manager – forward selected candidates for review.

This saves time compared to opening profiles individually.

6. Mass Delete Candidates

  1. Select unwanted candidate records.

  2. Choose Actions > Mass Delete.

  3. Click Go.

  4. Confirm deletion when prompted.

Note: Deleted candidates are not immediately erased. They are moved into the Candidate Recycle Bin, which you can access from the side panel under Candidates. From there, candidates can either be restored or permanently deleted, depending on your permissions.

Best Practices

  • Always refine your search results first.

  • Use saved searches to quickly rerun common workflows.

  • Increase Items Per Page (10–500) to process larger sets at once.

  • Verify permissions with your administrator if you don’t see certain actions.

With Mass Actions, recruiters and managers can process high volumes of records efficiently while keeping workflows consistent.
