In BrightMove, a "Hiring Manager" can exist in different states depending on their employment status and platform access needs. This article explains the difference between:
Who can log in to BrightMove (Manager Access)
What it means when a manager is marked Active or Inactive (Status field)
How deletion works via the Recycle Bin
Understanding these distinctions helps maintain data security, clean reporting, and audit-ready records.
Who Can Log In to BrightMove (Manager Access)
Hiring Managers must be explicitly granted login access to use BrightMove. This is managed through the Manager Access settings or directly from the manager’s profile.
How to Grant or Restore Access
Option 1: From Settings
Go to Settings > Manager Access
Click Add Access in the upper right corner
Use the search bar to locate the manager(s)
Click Grant Access next to each manager, or select multiple and click Add Selected
Access is granted immediately. You can close the modal when finished
Option 2: From the Manager’s Profile
Go to Power Search under Managers on the left menu
Search for the manager
Click on the manager’s name
In the top right corner, click the Grant Access button
⚠️ Note: The manager’s profile must include a username and at least one email address to enable access. You can add this information using the “baseball card” pane on the left side of their profile. Be sure to save all changes
Note: Managers must log out and back in to see updated access changes
What Does “Active” or “Inactive” Mean in the Status Field?
Each manager profile includes a Status dropdown field, typically defaulting to Active or Inactive, which your company can customize under Settings > Hiring Manager Statuses.
What the Status Field Does:
It is purely informational
It is filterable in Power Search and select manager reports
It does not control login access
It does not remove the manager from dropdowns or assignments
Updating this field is useful for internal tracking, e.g., marking someone as Inactive when they’re no longer involved in the hiring process.
How to Update a Manager’s Status
Navigate to the manager’s profile
In the left-hand “baseball card” pane, locate the Status dropdown
Select the appropriate label (e.g., Active, Inactive)
Changes are saved automatically
How to Customize Status Options
To edit, add, or delete manager status types:
Go to Settings > Hiring Manager Statuses
Use the “New Hiring Manager Status” button to add a new status
Use the Edit or Delete buttons to manage existing values
You can also designate default and available choices
Reminder: Changing a manager’s status label does not affect login access or system visibility, it is strictly a customizable status tag.
Deleting a Manager (Recycle Bin)
If a manager is no longer with your organization and should not appear in dropdowns or assignments, you can delete their profile.
How to Delete a Manager
Go to Managers in the left menu
Click the manager’s name
Click the More dropdown in the top right
Select Delete
This removes them from active workflows but retains their record in the Recycle Bin for audit purposes.
How to Restore a Deleted Manager
Go to Managers > Recycle Bin
Locate the manager
Click Undelete
Re-grant login access if needed

Deleted managers can be restored, and their access re-enabled if needed
For cleanup, periodically review Manager Access, Status labels, and the Recycle Bin
