A Recruiters Guide to Hiring Manager Access

How to grant and manage access to the Hiring Manager Workspace

The Hiring Manager Access tool gives administrators a detailed list of all Hiring Managers in each account and allows quick assignment or removal of licenses for BrightMove’s Hiring Manager Workspace.
Recruiters and HR Admins can also directly support Hiring Managers through the Assume Identity feature.

Assuming A Hiring Manager's Identity:

Recruiters may need to assume a Hiring Manager’s identity to provide hands-on assistance with tasks such as reviewing candidates, updating job statuses, or helping the manager navigate their Workspace.

Recruiters and HR Admins can assume a Hiring Manager’s identity to assist with tasks on their behalf. You can do so, by following the steps below:

  1. Go to the Hiring Manager profile (You can do this by navigating to Managers > Power Search. Locate the Hiring Manager in the results. Click on the manager’s name to open their profile.)

  2. If the manager has been granted Workspace access, click the Assume button.

  3. You will now navigate the platform as if logged in as that Hiring Manager.

  4. The assumed user’s name appears in the left navigation frame.

Note: When you assume a Hiring Manager's identity, that Hiring Manager can still log in at the same time. The Assume Identity feature allows you to navigate the platform as if logged in as that Hiring Manager, but it doesn't prevent their actual login access. Activities performed while an identity is assumed are still recorded as the original user, not the assumed identity of the user.

Accessing the Management Tool:

By default, all users with the Administrator security permission can access the Manager Access option in the Settings screen.


Non-administrators can be granted access via the Security settings.

Using the Management Tool:

Clicking Manager Access opens a list of all current manager profiles.

Removing Access

To Remove Access:

  • Click Remove for the desired manager.

  • For bulk removal, select multiple profiles and click Remove Selected.

A search bar is available to filter by Last Name, First Name, Client, or Department.

Adding Access

Clicking the Add Access button opens a pop-up window displaying all Hiring Managers in the account. From this window, you can assign Workspace licenses individually or in bulk.

To Assign Individual Access:

  • Click Grant Access for a specific manager.

  • To assign in bulk, select multiple managers using the checkboxes and click Add Selected.

Use the search bar to filter the list by Last Name, First Name, Client, or Department.

Out of Licenses

If available licenses = 0 or less:

  • The Add Selected button will be disabled.

  • “Out of Licenses!” will display.

To add more licenses:

  • Contact your Support representative, or

  • Remove an assigned license to free one up.

Assigning Access from Manager Profile

In addition to the Manager Access tool, an individual Grant Access button is also available on any unassigned manager profile.

  • Hover over the button to see the current number of available licenses.

  • Click Grant Access to assign a license and enable Workspace access.
