Automated Messaging is every place an automated message can fire, and what controls it, in one view. It controls when and to whom your automatic candidate and stakeholder communications go out (across submittal statuses, activity triggers, and portals) and gives you visibility into scheduled messages and system-level emails you can't edit but should be aware of.
It works hand-in-hand with Communication Templates, but the two serve different jobs. Communication Templates is your library. Every template you've built, with a Used In column showing everywhere it's currently assigned. Automated Messaging is where you decide when a template fires and who receives it. The two are also directly connected: from a recipient row in Automated Messaging, Edit Template opens that template for editing, or (if no template is assigned yet) lets you create a new one on the spot, without leaving the screen.
Where to Find It
From Settings, click the Automated Messaging tile
Managing by Submittal Status
Select a status from the dropdown to see its five recipient rows: Applicant, Contact, Recruiter, Sales, and Sourcer. Each row shows its assigned template (or "- Do Not Use Template -" if none is set), with Edit Template beside it to edit or create one.
Set Additional Recipients (CC) for that status if needed
Click Save to apply changes
Manage in Workflow jumps you to the native Submittal Workflow screen for that status, and back
Managing by Activity Trigger
Select a trigger (like "Accepted / Call") to see its single assigned template row. Edit or create the template via Edit Template, then Save. Manage in Workflow jumps to the native workflow screen for that trigger, and back.
Managing by Candidate Portal
Select a portal to see its named template rows; typically Applicant, Application Denied Template, Forgot Password Template, New Profile Response Template, and Submittal Notification Template. Each works the same way: assign or edit via the dropdown and Edit Template, then Save. Manage in Candidate Portal jumps to the native portal screen, and back.
Scheduled Messages
This tab shows messages currently queued to send with Status, Subject, Recipients, and Scheduled Date for awareness. It's read-only here; Manage in Email Management takes you to where you can make changes.
System Emails
This tab shows system-level email assignments that aren't editable anywhere in Automated Messaging, they're here strictly for awareness. For each event, you can see the recipient and exactly what controls whether it fires. For example:
Candidate Accepted → Hiring Manager/Contact: always sent as a fixed system email; no preference or template controls it
Candidate Applies (Portal) → Candidate: controlled by the "Disable Initial Submittal Email" preference and the Application Response Template
Candidate Applies (Portal) → Recruiter: uses the Submittal Notification Template if one is configured, otherwise the system default
Permissions
Managing assignments requires the edit.email.template permission. Without it, assignments display read-only. You also can't edit another company's assignments.
