The Hiring Manager Profile contains key account and contact information for hiring managers and is accessible to both Recruiters and Admins. While the full layout may vary depending on your company's configuration, the profile is organized into a left-hand Basic Information panel and a series of tabs for managing jobs, activities, candidates, and more.
The profile includes:
Basic Information (Baseball Card)
HR Business Partner / Sales Person field (HR Company or Staffing Edition only)
Contact details and profile links
Profile tags for organization
Communication actions and quick links
Tabbed sections: Jobs, Activities, Notes, Submittals, Folders, Attachments, Approver Delegates, Opportunities, User Defined Fields (UDF), and Audit
Accessing a Hiring Manager Profile
From the Recruiter or Admin Workspace:
Go to Managers > Power Search, find the hiring manager, and click their name, or
Go to Settings > Manager Access and click the hiring manager's name.
Basic Information (Baseball Card)
The Basic Information section, also called the Baseball Card, is displayed vertically along the left-hand side of the profile. This section contains:
Profile type and BrightMove unique identification number (ID)
Manager's name, address, phone number(s), and email address(es)
Links to the manager's assigned Department/Client and Location/Department profiles
Profile photo (optional)
To upload a profile photo:
Select the image square.
Paste an image URL or click Browse to upload from your computer.
Click Save and Close to apply changes.
HR Business Partner Field (HR Company Packages Only)
The HR Business Partner of a Hiring Manager profile is the full user responsible for managing that hiring manager's account. This person is typically the primary point of contact and manages job postings, candidate submittals, and communication on behalf of the hiring manager. When a new job is created by the Hiring Manager, this user is automatically assigned as the primary recruiter for that job. In Staffing Edition accounts, this field appears as Sales Person instead of HR Business Partner.
Profile Tags
Tags help organize and quickly search for hiring managers.
To add a tag:
Click Add a tag and begin typing.
If the tag already exists, select it from the suggestions.
If it's new, finish typing and save.
Communication Actions and Links
From the Basic Information section, you can quickly contact a hiring manager:
Email: Click the blue envelope icon next to an email address to open the compose email screen.
Communication Templates: Use the Communicate drop-down to send a blank email or a template to the primary email address.
Phone Numbers: Click Add Phone to add a new number (choose type, enter number, click Save). On mobile devices or computers with dial-through software, clicking the phone number will initiate a call.
Tabs on the Hiring Manager Profile
The Hiring Manager Profile includes a series of tabs that organize key information and actions related to the manager's account. Each tab focuses on a specific area, from job listings and candidate submittals to notes, attachments, and audit history. The tabs available to you may vary depending on your company's BrightMove configuration.
Jobs Tab
The Jobs tab contains a list of all jobs associated with this hiring manager. Each entry displays:
Job Title
Client/Department Job ID
Internal ID
Status
Owner
Location
Open Date
Use the Add Job button in the top right to create a new job linked to this manager. Use Filter View to narrow results by criteria such as job status or location.
Activities Tab
The Activities tab contains a record of all activities logged for this hiring manager.
Tracked Automatically: If an email is sent from within BrightMove (mass or single), it is automatically recorded in the Activities tab. Each email entry displays an envelope icon that changes appearance once the email has been opened, hovering over it shows the Last Read date and time.
To manually add an activity:
Click Add Activity in the top right of the Activities section.
Choose an activity type from the drop-down.
Select a Start Time and End Time.
Enter any comments if desired.
Click Save.
Activities are displayed with the most recent entry first.
To set a reminder:
Click Add Activity in the Activities section.
Select an activity type from the drop-down.
Check the Set Reminder box.
Select how far in advance you'd like to be reminded.
Add any comments.
Click the Resources tab and check Email to me to link the reminder to your Outlook calendar.
Click Save.
When the reminder triggers, the bell icon in the top right of the application will display a notification.
Notes Tab
The Notes tab is where you can store, view, and manage custom notes on a hiring manager's profile.
Click the blue Add Note button to create a new note.
Click View to see full note details, including Created Date, Created By, and Modify Date.
Click Edit to update an existing note.
Click the red Delete button to remove a note.
Submittals Tab
The Submittals tab displays all candidates who have applied to jobs linked to this hiring manager. Each entry includes:
Job Title
Candidate
Progress Percentage
Submittal Status
Placement Information
Date Submitted
Submitted By
Last Activity Information
Rank
Available actions per candidate: View Resume, Add Activity, View Submittal, and More.
You can perform bulk dispositioning by selecting multiple candidates and applying actions (such as status updates or rejections) through the dropdown menu above the submittals table.
A search bar allows for quick, temporary filtering. The Filter View button applies a persistent filter — configure your desired criteria (e.g., submittal status, job status), hide irrelevant fields, and click Save to customize your view.
Tips for streamlining candidate reviews:
Use Power Search for advanced filtering and sorting. You can add a "Current Employee" column to identify employment statuses across multiple candidates at once.
Regularly update candidate statuses to keep workflows organized.
Use Filter View to focus on specific candidate groups.
Folders Tab
The Folders tab allows you to assign hiring managers to folders for easy organization and management.
The tab displays all folders this manager has been assigned to.
Click Assign to Folder to add the manager to a new folder.
Click the blue X next to a folder to remove the manager from it.
Attachments Tab
The Attachments tab contains a list of all documents uploaded to this hiring manager's profile.
Click Add Attachment to upload a new document.
Click the document link in the Filename column to download a copy.
Click the blue Edit button to update an attachment's description.
Approver Delegates Tab
The Approver Delegates tab displays any users who have been designated as approval delegates for this hiring manager, allowing another user to act on their behalf in approval workflows.
Opportunities Tab
The Opportunities tab contains a list of Opportunities that this hiring manager has been assigned to. Use the Add Opportunity button to create and link a new opportunity to this manager's profile.

User Defined Fields (UDF) Tab
The User Defined Fields (UDF) tab contains any custom fields your company has created and marked for use on manager profiles. The fields displayed here will vary based on your organization's configuration.

Audit Tab
The Audit tab provides a record of profile creation and modification history. It displays:
Created By — the user who created the manager profile
Created On — the date the profile was created
Updated By — the last user to make changes to the profile
Updated On — the date of the most recent update
