Export XML Data and Attachments

How to request your account data and files when preparing to move to another ATS.

If you’ve decided to move to another ATS, we’re here to help you retrieve your BrightMove records and understand what you’ll need for the transition.

There are two parts to an account export:

  • XML data: Structured records such as candidate, hiring manager, and client/department profiles, activities, and submittals.

  • Attachments: The files stored on those profiles, including resumes and other documents.

If you’re moving both records and files, you’ll need both exports. The XML data helps your new provider or technical team match each attachment to the correct record. An attachments archive alone doesn’t provide that full picture.

This guide explains how to request each export, when to expect it, and how to download and save your copies. Requesting an export does not cancel your subscription or automatically transfer your data into another system.

XML data export

The XML data export includes account information such as candidate, manager, and client/department profiles, activities, and submittals. It does not include attachments.

Data is delivered as XML only. BrightMove does not convert the file to another format. If you need a different format, convert it after download or have your destination system handle the conversion.

Who can request it

Any user whose security role includes permission to export data can request an XML export. There is no charge for the XML data export. If you do not see Export Data in Settings, contact your administrator or [email protected].

How to request an XML data export

  1. Click your profile icon.

  2. Click Settings.

  3. Click Export Data.

  4. Click Request XML Data.

The XML data export is created within 24 hours. You and the administrator on the account receive an email when it is ready. You can request another export after the previous one finishes or expires.

How to download the XML export

The email includes a download URL and a password for access. Open the link from the email, enter the password provided in that message, and download the file. No FTP client is required.

The download link expires after 30 days. Download and save a local copy before it expires. If the link has expired, request a new export from Settings.

Attachments export

The attachments export is for moving all account attachments into another system. It includes every file attached to profiles in the account, not just resumes, and is delivered as a compressed archive that needs technical processing to extract and match files back to profiles. It is not meant for everyday use or for downloading one resume, and it is not useful on its own—you need the XML data export as well so attachments can be matched back to their owners.

To view or download a specific candidate's resume, open the candidate profile in BrightMove.

If you need a full attachments export after you have decided to transition, email [email protected]. BrightMove provides one attachments export per account as a courtesy. Wait until new attachments are no longer being added before you request it. Additional attachments exports are available for a $200 fee.

An attachments export can take 3–5 business days. When it is ready, you receive a download URL and password by email. The download link expires after 30 days. Download and save a local copy before the link expires. No FTP client is required.

Matching attachments to profiles

An attachments export typically arrives in two parts:

  • An XML file that lists each attachment, the profile it belongs to, the original file name, and where the file sits in the archive.

  • A compressed archive of the attachment files.

Use the file path from the XML to find the matching file in the archive. Unzip that file to a numbered binary file, then rename it to a usable name and extension (for example, the candidate's name plus the original document type). Your destination system or technical team can use that mapping; manual review is possible but tedious for large accounts.

Quick comparison

  • XML data export: structured account data without attachments; request from Settings; no charge; created within 24 hours.

  • Attachments export: full attachment archive for migration; request through Support; use with the XML data export to match files to records; one courtesy export per account, then a $200 fee for additional exports; can take 3–5 business days.

  • Both: delivered by email with a download URL and password; download links expire after 30 days; no FileZilla or FTP client needed.
